The things hosts usually want to know before creating their first event.

Do guests need to create an account?

No. Guests only need your event QR code or secret link. Organiser accounts are used to create and manage events.

Can guests upload videos too?

Yes. Picorae accepts photos and supported videos. Guests can select up to 20 items in one upload selection.

Can guests leave voice messages?

Yes. The Audio Guestbook lets guests record a voice message of up to 2 minutes from a supported phone browser. Microphone permission is required.

Can I stop guests seeing other uploads?

Yes. Choose Private / organiser only. You can also use Approve first if you want to review uploads before they appear.

Can I print the QR before the event?

Yes. Once your event is created, its QR and guest link stay tied to that event, so you can print invitations, table cards and signs months in advance without needing to replace them. The free design preview uses a non-scannable sample QR until the real event is created.

Can I download everything afterwards?

Yes. The organiser dashboard includes Download all, which packages the event uploads together for you.

PICORAE EVENT PURCHASE TERMS

One payment. One event.

These terms explain how a £33.99 Picorae event purchase can be used.

One purchase = one event.
A paid event credit may be used to create one event only. It cannot be transferred, recycled or repurposed for a different wedding, party, holiday, corporate event or other occasion.
Guest QR and links can be shared freely.
The organiser may share the event QR code or secret guest link with as many genuine guests as needed. Sharing the guest link does not create another event credit.
Event identity locks as soon as the first upload is received.
Once the first photo, video or voice message is uploaded, the event type cannot be changed and the event cannot be renamed or re-dated into a different occasion. Only the limited minor corrections below remain available.
Up to 3 minor corrections are allowed after the lock.
These are for genuine mistakes only. Date corrections are limited to 7 days from the original event date, and name corrections must still clearly refer to the same event. They cannot be used to turn the purchase into another event.
Gallery settings remain flexible.
Gallery mode and guest-page personalisation may be changed without using a correction allowance. Audio Guestbook recordings are always private to the organiser.
Another event needs another purchase.
If the organiser wants to create a separate event, a new event credit must be purchased.
Organiser accounts and purchases are 18+.
The person buying/creating an event must be at least 18 and authorised to create and manage that event.
Event content is personal data.
The organiser is responsible for using Picorae lawfully and for inviting guests appropriately. Picorae stores and processes event content to provide the service, protect it and apply the organiser's gallery settings. See the Privacy Notice for details.
Event content is not kept forever.
Picorae's standard retention period is 12 months after the later of the event date or the date the event was created. The organiser may permanently delete the event sooner. Download anything you want to keep before deletion.

PICORAE PRIVACY NOTICE

Privacy & data protection

Effective 8 September 2026. This notice explains what Picorae collects, why it is used, who can see it, how long it is kept and the choices available to you.

1. Who is responsible?

Picorae operates picorae.com and the Picorae event photo-sharing service. For privacy and data-rights enquiries, email privacy@picorae.com. For general help, email support@picorae.com.

Self-service privacy controls

Signed-in organisers can download a basic copy of their Picorae account data and submit access, correction or deletion requests from Dashboard → Data & privacy. Event organisers can also remove individual RSVP details, delete individual RSVP records, clear all RSVP responses, delete individual uploads and permanently delete an event.

Organisers can request account deletion from Dashboard → My profile → Delete account. If you cannot sign in, contact privacy@picorae.com; a public deletion-request page is also provided through our app-store listing.

2. Information Picorae handles

  • Organiser account data: email address, authentication/account identifiers and account activity needed to sign in and manage events.
  • Purchase data: Stripe checkout/session references, payment status, amount/currency and the email returned by Stripe. Picorae does not receive or store full card numbers.
  • Event data: event name, date, type, optional venue details, welcome message, gallery mode, secret guest token and event-management information.
  • Guest content: uploaded photos/videos/voice recordings (including metadata embedded in the files by a camera or device) plus an optional guest name and optional message.
  • Technical/security data: limited network, device, browser, error and security logs may be processed by Picorae's hosting, authentication, storage and payment providers to operate and protect the service.
  • Support/privacy correspondence: information you send when contacting support or making a privacy request.

3. Why it is used and lawful bases

  • Contract: to create organiser accounts, take payment, create/manage events, provide QR/guest links, accept uploads and provide downloads.
  • Legitimate interests: to secure Picorae, prevent misuse/fraud, troubleshoot faults, improve reliability and operate the guest upload experience with proportionate privacy safeguards.
  • Legal obligations: where records must be kept or disclosed for tax, accounting, consumer, regulatory or legal requirements.
  • Consent where specifically requested: if Picorae later introduces an optional feature that genuinely relies on consent, it will be requested separately and can be withdrawn.

Picorae does not use event photos/videos for advertising, facial recognition or behavioural profiling.

4. Who can see event content?

The organiser can see uploads for their own event. Guest visibility depends on the organiser's setting:

  • Approve first: uploads are hidden from the shared gallery until the organiser approves them.
  • Instant: uploads can appear straight away to people who have the secret event link.
  • Private: uploads are organiser-only.

The guest link is a secret access link, not a promise that everyone shown in an image has consented to publication. Organisers and guests should only upload/share content they are entitled to use.

5. Suppliers and international processing

Picorae uses service providers to run the service, including Supabase (authentication, database and media storage), Netlify (website and server functions), Stripe (payments) and ImprovMX (support/privacy email forwarding). These providers process data under their own security and contractual arrangements. Data may be processed outside the UK; where UK transfer rules apply, Picorae relies on the safeguards made available by the relevant provider and applicable law.

6. Retention & deletion

  • Event photos/videos, guest names/messages and event metadata: scheduled for deletion 12 months after the later of the event date or event creation date. Existing pre-v13.7 events receive a minimum 30-day migration grace period.
  • Organiser control: an organiser can permanently delete an event sooner. Deleting an event does not restore the paid event credit.
  • Payment/account/support records: retained only for as long as reasonably needed for the service, fraud/dispute handling, legal/accounting duties and evidence of data-rights handling. Some transaction records may need to be retained for several years.

Download anything you want to keep before an event is deleted; permanent deletion is not reversible.

7. Children

Organiser accounts and purchases are for people aged 18+. Guests do not need accounts. Because event links may be used by families, Picorae keeps privacy controls easy to reach: new events start in Instant gallery mode for simplicity, organisers can switch to Approve first or Private at any time, guest names/messages are optional, Picorae does not use event content for advertising or behavioural profiling, and the site does not request device-location permission. Younger guests should ask a parent/guardian or the event organiser for help if they are unsure what is appropriate to upload.

8. Your data-protection rights

Depending on the circumstances, UK data-protection law may give you rights to access personal data, correct it, erase it, restrict/object to processing, receive certain data in a portable format, and complain about how it is used. Email privacy@picorae.com. Picorae may need proportionate information to verify identity before disclosing or deleting data.

You can also complain to the UK Information Commissioner's Office (ICO) if you are unhappy with how a request or concern is handled.

9. Browser storage, cookies & tracking

Picorae does not intentionally use advertising or behavioural-analytics cookies. Essential browser storage is used for functions such as organiser authentication and completing/returning from checkout. This storage is used to provide the service or protect it, not to build advertising profiles.

10. Security

Picorae uses HTTPS, private media storage, account ownership controls, secret event tokens, restricted guest access, approval/private gallery modes and security headers. No internet service can promise absolute security; suspected privacy or security incidents should be reported to privacy@picorae.com.

11. Changes to this notice

This notice will be updated when Picorae materially changes how personal data is used or when legal requirements change. The effective date at the top will be updated.

PICORAE CONTENT GUIDELINES

Keep event sharing safe & respectful

These simple rules apply to photos, videos, voice recordings, names and messages uploaded to Picorae.

Only share what you are allowed to share

Do not upload content that infringes someone else's copyright, privacy or other rights. If another person is identifiable, consider whether sharing it is appropriate for the event.

No illegal, abusive or harmful content

Do not use Picorae to upload unlawful content, threats, harassment, hateful material, sexual content involving minors, malware, scams or content intended to cause harm.

Event organisers control visibility

Organisers choose whether photo/video uploads are private, shown immediately or require approval. Audio Guestbook messages remain private to the organiser.

Removal and reporting

Picorae may remove or restrict content where reasonably necessary to protect users, comply with law, enforce these rules or protect the service. On shared-gallery photos and videos, use the in-app Report option to flag privacy/consent concerns, abusive content, spam or other problems. Picorae reviews reports and may remove reported content or contact the organiser where appropriate. You can also email support@picorae.com.

Associated events and guest content may be permanently removed when a deletion request is processed. Please export anything you want to keep first. Some legal or transaction records may need to be retained.
